Planning Meeting for PhD Student Conference
Sub-Committee Assignments and Responsibilities
LOGISTICS COMMITTEE
Responsibilities: responsible for choosing the date of the conference, choosing the location, reserving the rooms, talking to Roger and other colloquium professors and getting their support, coordinating food, and taking care of any other logistical details.

Assignments and Due Dates:
v Determine date of conference (by November 7th)
v Determine location of conference and reserve rooms (by December 5th)
v Talking to Roger and other colloquium professors to get support
PROGRAM COMMITTEE
Responsibilities: responsible for determining the conference theme, getting a keynote speaker, putting the abstracts received into panels, getting faculty chairs/discussants for panels, outlining times and activities of conference, and determining other program details

Members: Rob, Richard, Tatyana
Assignments and Due Dates:
v Determine conference theme (by November 7th)
v Get keynote speaker for conference (by December 5th)
PUBLICITY COMMITTEE
Responsibilities: responsible for getting the word out about the conference to SPEA PhD students and faculty and other departments on campus, trying to increase submissions through strategic hounding of people, getting information on our website, and all that kind of thing.
Members: Ginger, Becky, ???
Assignments and Due Dates:
v Come up with a brilliant publicity campaign (by December 5th)
v Invite other departments to participate (by December 5th)
AWARDS COMMITTEE
Responsibilities: responsible for asking campus departments and institutes to sponsor awards for student papers, responsible for outlining the award topic areas and criteria, getting faculty to judge awards, getting award certificates, and making the world a better place in general.
Members: Abby, Evelyn, Jamie?
Assignments and Due Dates:
v Approach various departments and institutes to sponsor student awards (CIPEC, Workshop, SPEA, SLIS, ICRI, Center on Congress, Science, etc) (by Thanksgiving)
v Make list of all awards, their loose themes, any criteria, and amount of award (by Thanksgiving)
A FEW OTHER THINGS:
v Our next big meeting is on December 5th at 10:30am in the lounge—we can all report on everything that we’ve done by then and make new assignments
v We’ll shoot to get abstracts by mid- to late-January, and to be eligible for an award the students must submit full papers by 2-3 weeks before the conference
v We want to have a closing ceremony in which to present the awards
