ASPS Ex-Comm Meeting

March 28th, 2003

Minutes

 

Present: Rob Christensen, Becky Nesbit, Abby York, Ginger Elliott, David Welch, Maxine Davis

 

I.                    Report from GPSO—Bertie?

a.       Ginger has an item from Bertie

 

v     Bertie suggested getting assigned PhD carrels in the SPEA library, just like they have in the main library

v     We decided that it wasn’t a bad idea and might take some pressure off of room 312, we would only need 10-15 carrels

v     Becky will check with the SPEA library about his possibility

 

II.                 SPEA PhD Conference

a.       Don’t forget—tomorrow from 9:00am to 1:00ish

b.      Can someone give an update on the conference planning?

                                                               i.      Talk to Tina about possibility of paper awards (discussed last time)—Rob?

                                                             ii.      Faculty participation

c.       Writing Conference with Kirsten?—Abby and Rob

d.      Anything that we need to do?

                                                               i.      Possible exit survey?

e.       Next year’s student conference—brainstorming

 

v     Ex-Comm members will meet in the lobby at 8:30am—can park in the garage on Fee lane

v     No student awards this year, but possibly for next year’s conference

v     Abby will talk about the writing workshop during the opening ceremonies for the PhD conference

Ø      We aren’t sure of the dates of the writing workshop

Ø      We discussed keeping the groups small to make it effective, and we entertained the possible idea of doing a second workshop during the summer depending on interest

Ø      Participants to get their papers to Abby in two weeks

v     Next ASPS Ex-Comm meeting we will talk about ideas for next year’s student conference

Ø      Everyone will bring ideas for what they want to see happen next year, some items include:

§         Is the conference meeting needs

§         Increasing conference formality

§         Posting the conference in other venues

·        ESA

·        Universities within a day’s drive

§         Lists of contact venues for growing the conference

·        Key faculty and labs

·        Listservs

 

III.               Publicity

a.       Website

                                                               i.      Link to GPSO insurance site and links to campus centers and institutes?—Ginger

b.      Updating Bulletin Boards

c.       Listserv

                                                               i.      Results of listserv census—Abby

                                                             ii.      Second discussion forum listserv 

 

v     Ginger hasn’t added new links yet, but will—there are some centers that she wants to link to

v     Ginger will also link the page to the SPEA homepage as hosted on the IU website (also link Dawn’s website)

v     Maxine will get a digital camera to take pictures of the student conference for the bulletin board

v     Abby has conducted the listserv census for Public Policy and Public Affairs but not yet for Environmental Science

v     We’ve decided against setting up a second discussion listserv

v     Some people on the listserv are gone and graduated

 

IV.              Financial

a.       Have we found our money?

b.      Can we get money from the student groups people?—Maxine

c.       Do we want an SOA account?

 

v     As far as Maxine knows, we have no money

v     CASI will fund projects, we can submit a budget

v     GRIFI will fund political groups and others that can’t get regular funding

v     Ex-Comm voted on opening an SOA account and the vote was unanimous

v     Maxine will talk to Jamie and Anjali one more time about where our checking account is

v     We will devote a drawer in the lounge file cabinet to ASPS Ex-Comm files to keep them all in one place so that they won’t get lost as the committee changes

v     We need to make money

Ø      Possible bakesale and craft sell during the first couple weeks of school in the Fall

Ø      David will make SPEA mugs to sell

 

V.                 SPEA Environment

a.       Any items?

b.      Any word on hiring new professors?

 

v     Rob will follow up on the progress of room 312

v     Roger is asking for input from students about the new professors

 

VI.              Ex-Comm Events

a.       Social Activities

                                                               i.      Results of David’s survey

b.      SPEA Newsletter—put news from everyone, upcoming events/conferences, student publications and research progress, etc—what do you guys think?

 

v     David’s survey results

Ø      Picnic and conference were rated highly

Ø      Advocacy was rated the most important function of ASPS Ex-Comm, then self-help and community building

Ø      The most important advocacy issues were health care/salary and desk/office space

Ø      Happy hours didn’t receive much support

§         Possibly we can piggyback on GPSO happy hours and get a group from SPEA to go

Ø      Best chance for social activities is to build on existing events (like the conference)

Ø      Becky will print off the survey and results and put them in the ASPS drawer

v     We discussed using money to have food (bagels or doughnuts or something) in the lounge after the environmental science or public affairs colloquium, once a month after each

v     Abby will ask Roger for money for ASPS

v     Next meeting will be April 25th at 9:00am in the Dean’s Conference Room
